  • Overview


    As a Fulfillment Specialist you will work with the latest technology available to fulfill all of our affiliated business units’ fulfillment needs. The purpose of the Fulfillment Specialist is to maintain the highest level of service for our members and staff by following procedures that apply to mailing processes. The Fulfillment Specialist will ensure accuracy in resolving issues in a timely manner while promoting and fostering an atmosphere of teamwork.  The Fulfillment Specialist will form and continue a partnership with our internal and external clients as well, helping the department achieve a high level of customer satisfaction.


    Essential Duties and Responsibilities:


    • Operate Printers, Scanners, Copiers, Cutters, Inserters, Postage Equipment, and other peripheral mailroom equipment as necessary
    • Maintain Confidentiality of Materials and Records of work involved
    • Fosters an environment of teamwork with co-workers in the department and throughout the organization.
    • Process other fulfillment requests as directed by NPC Manager.
    • Documents functional requirements.
    • Assists with internal and external reporting requirements.
    • Adheres to the policies and procedures of Clear Processing Solutions and the NPC
    • Maintain standards compliance
    • Receives incoming mail, sorts, opens and date stamps accordingly.
    • Documents incoming envelope counts.
    • Electronically redistributes all mail containing PHI to appropriate party.
    • Identify and sort claims based on claim type
    • Scan claims into computer
    • Count incoming claims and reconcile counts with scanner
    • Logs physical undeliverable mail for reporting.
    • Logs all outgoing fulfillment mail by file dates and mail dates
    • Submits daily summary for reporting.

    • Experience operating various mail room equipment: copiers, printers, inserters, cutters desirable, and postage equipment.  

    Education and/or Experience:

    High School Graduate or GED


    Certificates, Licenses, Registrations:



    Computer Skills:


    Proficiency using software programs such as MS Word, ACCESS, PowerPoint, Excel and Outlook


    Environmental Factors/Physical Demands:


    Work is performed in an office environment. While performing the duties of this job, the employee is regularly required to have the ability to maintain active customer and employee communication; access, input and retrieve information from the computer system; enter alpha-numeric data into a computerized system often while listening on the telephone. May be subject to repetitive motion such as typing, data entry and vision to monitor. May be subject to bending, reaching, kneeling, stooping and lifting up to thirty (30) pounds. This job may require sitting to a significant degree as needed to work at one or more PC work stations. The job may also require walking or standing to a significant degree as needed to carry out duties in a mailroom / office environment. Occasionally lifting boxes and bulk items and lifting and/or carrying objects. Specific vision abilities required to this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. The position requires frequent exposure to sound levels produced by mailroom equipment operation. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
